The Basic Edition includes all of the ClinicOffice essentials. Everything you need to run a small business, and upgradable any time. There are no limits placed on the number of patients or practitioners, you only pay for the number of concurrent connections that you need. |
The Premium Edition is best suited to those with multiple clinic locations, or those looking to take advantage of our full email client.
This edition also includes other advanced features such as ‘Treatment Plans’. Again, you can easily upgrade to the Ultimate Edition at any time. |

Licenses for ClinicOffice are per concurrent user, NOT per user or per computer. This means you only ever pay for the amount of people who need to be logged on at the same time as each other.
Licensing explained further
For all ClinicOffice Editions, licenses are on a “per concurrent user” basis. This means you can install it on as many computers as you wish. The question is: how many people will be using the system simultaneously? If you have 10 PCs and 20 staff members but only 6 people will use ClinicOffice at the same time, then you only need to purchase 6 licenses (1 initial + 5 additional licenses). Of course, you can easily add additional licenses later on and they can be activated for you instantly.

Functionality |
A ‘hosted’ program runs on a remote computer, so some features aren’t available in the Hosted Edition. For example, you can’t scan documents directly into ClinicOffice from a local scanner (although documents can be scanned locally and then uploaded). |
Q. Is there a minimum contract period?
Our subscription service is operated on a one month rolling contract. You pay monthly in advance and you’re free to cancel the service at any time.
Q. What happens to my database if I decide to cancel?
Before cancelling, we recommend that you export any data that you need out of your database. ClinicOffice makes this easy by allowing you to export patient records, appointments, invoices, payments etc. to MS Excel and many other common formats.
After cancelling your service, we’ll double check with you that you’ve exported your data and then your database will be permanently erased from our server. We can also provide you with full database dump (in CSV format) of all your data tables if that’s helpful.
Q. How secure is my database on your hosted server? (Applies only if you choose ‘Hosted Edition’)
To access a database on our Hosted Server, there are two layers of authentication.
Firstly, you login to one of our Hosted Windows Servers via your own private account. This connection is encrypted using Kerberos or TLS (aka SSL) for authentication, which according to Microsoft is “stronger encryption than your browser uses when communicating with your bank”.
Secondly, once connected to your private Hosted Account, you then still have to login to your ClinicOffice database with your own username/password combination.
Furthermore, your data is stored in an encrypted format. In other words… your data is very secure.
For further peace of mind, we are also registered with the Information Commissioner’s Office on the Data Protection Register as a “data handler” which means that we comply with all their requirements for handling sensitive data.
