The Hosted Edition requires no installation, but it does require a solid internet connection. As with any online service, if your internet goes down you lose access. We host your database for you on our secure servers and perform regular backups and maintenance on your behalf. |

Q. Can I "try before I buy"?

Q. Is there a minimum contract period?
Our subscription service is operated on a one month rolling contract. You pay monthly in advance and are free 30 day’s notice to cancel the service at any time.
Q. What happens to my database if I decide to cancel?
Before cancelling, we recommend that you export any data that you need out of your database. ClinicOffice makes this easy by allowing you to export patient records, appointments, invoices, payments etc. to MS Excel and many other common formats.
After cancelling your service, we’ll double check with you that you’ve exported your data and then your database will be permanently erased from our server. We can also provide you with full database dump (in CSV format) of all your data tables if that’s helpful.
Q. How secure is my data on your CLOUD HOSTED service?
To access a database on one of our hosted servers, there’s a minimum of three layers of protectection.
Firstly, all servers are protected by a “whitelist firewall”. This ensures that only connections coming from pre-authorised networks are allowed to communicate with our servers. Account holders have the ability to manage their whitelist to permit (or revoke) IP addresses.
Secondly, once through the firewall, the user must login to their own private Windows account. This connection is encrypted using Kerberos or TLS (aka SSL) for authentication, which according to Microsoft is “stronger encryption than your browser uses when communicating with your bank”.
Thirdly, the user still has to login to ClinicOffice with their own username/password combination.
Additionally, there’s the option of enabling two-factor authentication (2FA) on all user accounts too!
In summary… your data is very secure. For further peace of mind, we’re also registered with the Information Commissioner’s Office on the Data Protection Register as a “data handler” which means that we fully comply with all their requirements for handling sensitive data.
Q. How much data I can store on your CLOUD HOSTED service?
It is impossible for us to offer unlimited storage on our cloud platform. Our fair usage policy limits databases to 10GB. Please bear in mind that in addition to the database, we also store several backups and we replicate data across two sites… so for a 10GB database, we will be storing about 50GB of data.
Q. Will I need more than 10GB?
We have customers who have been using ClinicOffice for over a decade whose databases are still well under 1GB, since they store mainly text-based data. Conversely some customers store thousands of high definition images or PDF scans with hundreds of pages, in which case the database size will increase as more and more large files are added.
Q. What happens if I need more than 10GB?
There are a couple of options. ClinicOffice has full Dropbox integration, so all file & document attachments can be moved to your Dropbox account. The files, images and documents will show up exactly as if they were in your database, but they’re stored in (and retrieved from) Dropbox instead. NOTE: with this option, Dropbox will be fully responsible for the security and safety of all file attachments, not us.
The other option is to pay for extra space on our platform, which is £10+vat for each additional 10GB required.
