Connecting to the ClinicOffice Hosted Edition

Once your hosted account has been created, you will receive an email containing your account details as follows :-

  • ClinicOffice SERVER: [your ClinicOffice server] (e.g. iomart1.clinicoffice.co.uk)
  • SERVER Username: [your server username] (typically your company name)
  • SERVER Password: [your server password] (to access the hosted account)
  • CLINICOFFICE Username: [your server username] (username for ClinicOffice)
  • CLINICOFFICE Password: [your server password] (password for ClinicOffice)

(Note: If you have lost these details, please contact us and we’ll be happy to send them out again.)

Step-by-Step Instructions

Which platform are you using to connect in?

  • We use a WHITELIST system to protect ClinicOffice Hosted accounts from unauthorized access, so the first thing you need to do is login to your CLIENT PORTAL to whitelist your device. (If you’re not the account holder, please ask whoever owns the account to send you a “Whitelist link”.)
  • On the original email you received, there will be a ZIP file attached. Open the ZIP file and copy the RDP connection file it contains to your desktop.
  • Double-click the RDP file to connect to the server.
    (NOTE: you may see various “Windows Security” warnings. This is normal and you can safely tick any boxes which say “Don’t ask me again” to avoid those messages in future.)
  • You will now be prompted for the SERVER username and password :-
    The SERVER Username is: [your server username] (sent to you via email)
    The SERVER Password is: [your server password] (sent to you via email)
  • The ClinicOffice Hosted Edition should now start on your computer. All that remains is to logon with your CLINICOFFICE username and password which will also have been sent to you.
    PLEASE NOTE: there are TWO layers of authentication – firstly you logon to the SERVER, then you logon to CLINICOFFICE and the usernames/passwords will likely be different for each logon.

  • Firstly, you need to have a Remote Desktop application installed on your MAC to connect to a Windows Server. We recommend Microsoft Remote Desktop which is completely free. To install it, go to the App Store on your MAC and search for “Microsoft Remote Desktop” and then install it.
  • Run the freshly installed progra, and create a new RDP connection with the following details :-
    The SERVER Computer is: [your ClinicOffice server] (sent to you via email)
    The SERVER Port is: [the port number to connect on e.g. 3389 or 13344] (sent to you via email) (If you can’t find anywhere to enter the port number, simply add it to the end of the computer name with a colon… Like this :13344)
    The SERVER Username is: [your server username] (sent to you via email)
    The SERVER Password is: [your server password] (sent to you via email)

    (NOTE: Other configuration options are worth exploring too. For example, under DISPLAY settings you can choose to run the connection full screen or in a window, and under LOCAL RESOURCES we recommend ticking the “Disk Drives” and “Printers” box so that you can (a) upload files and (b) use your printer.

  • Once you’re connected to the Windows server, simply double click the icon on the desktop to launch the ClinicOffice Hosted Edition. All that remains is to logon to your database with the following details :-
    The CLINICOFFICE Username is: [your ClinicOffice username] (sent to you via email)
    The CLINICOFFICE Password is: [your ClinicOffice password] (sent to you via email)

IMPORTANT NOTE: while it is possible to use the Hosted Edition from any internet device, please bear in mind that ClinicOffice was designed for Windows PCs and this is by far the best way to use the program. We’re also not able to offer support for other operating systems or devices.

If you’re happy to proceed, then…
