Artificial Intelligence (AI) is everywhere… and now by popular demand it’s in ClinicOffice too!
We’re working with OpenAI, the creators of ChatpGPT, to integrate AI in three areas of ClinicOffice:

  1. Natural Language Searches
  2. Real-Time Dictation / Transcription (coming soon!)
  3. AI Assisted Medical Notes (coming soon!)

These AI applications can save an enormous amount of time on administrative tasks, leaving clinicians more time to focus on who really matters… patients!

(1) Natural Language Searches

Imagine being able to ask ClinicOffice:

  • “show me all patients who we haven’t seen in X months and who cancelled their last appointment ; or
  • “show me all patients who attended an initial consultation this year, but never had a follow up appointment” ; or
  • “show me patients who have purchased products A, B or C in the last 12 months”

Now you can with natural language searches!

(2) Dictation/Transcription

For many years we’ve recommended the excellent “Dragon Naturally Speaking” software for users who wanted to dictate/transcribe verbal notes.

ClinicOffice can now do this for you, without the need to purchase any other software… all you need is a microphone. If you’re already in the habit of making audio recordings of your clinical notes, you can simply upload an audio file to ClinicOffice, and it will do the rest!

(3) AI Assisted Medical Notes

ClinicOffice has the ability to “listen” to dictations or patient consultations and create transcripts.

These can then be applied with a quick “Smart Paste” operation to your Session Notes (e.g. SOAP notes) or your own Clinical Forms, and the AI will intelligently complete the information for you.

What does it cost?

Just like our SMS message service, the AI functionality uses “ClinicOffice Credits”… so you only pay for what you use.

  • Natural Language Searches – 0.25 credits each (100 searches = just over £1)
  • Dictation/Transcription – 0.25 credit pm (30 minutes of audio = approx 35p)
  • AI-Assisted Medical Notes (‘Smart Paste’) – 0.25 credits per execution (100 clinical forms = just over £1)

Frequently Asked Questions

Answers to often-asked questions…

No! The only information sent to OpenAI is the “search prompt” that the user enters. All the AI does is calculate a “SQL WHERE” clause to accomplish the search. No sensitive data is sent to OpenAI, nor does the AI have any access to your database, and the execution of the query is on your server, exactly as if the user performed a manual search.

The only caveat is if the user includes personal information in the search prompt e.g. “show me all patients who have seen Dr Fred Bloggs in the last 2 months”. In this case the name “Dr Fred Bloggs” forms part of the query. Even in this scenario, there is no cause for concern however – please see the FAQ #3 “Does OpenAI retain any of my confidential information?” for more information.

When you send an audio file to OpenAI, out of necessity the A.I. has to “listen” to the audio file in order to transcribe it. However, when you think about it… this is true of every transcription service!

Since we work exclusively in the healthcare industry, OpenAI have granted us a HIPAA amendment (Health Insurance Portability and Accountability Act) which guarantees a “Zero Retention Policy” for all A.I. functionality built into ClinicOffice.

This means that no data whatsoever (searches, audio recordings, transcriptions etc.) is retained by OpenAI.

Yes that’s exactly what it does! The AI will then generate clinical notes from the listening to the consultation, and it will insert data into the appropriate fields in ClinicOffice.

Another cool feature is that it filters out silences… so you can leave the microphone “open” for a whole treatment (say 30 minutes) but if you were only talking for 50% of that time and the other 50% you were treating the patient, then you would only pay for 15 minutes of audio transcription + note summarization.
