      *** UPDATED OCTOBER 2024 ***

In October 2024, Google started blocking ClinicOffice from connecting to GMAIL accounts via OAuth… unless we pay an exorbitant fee. (A quick Google search reveals many other small/medium businesses have been hit too, but that’s another story!).

      Q. So can I use GMAIL with ClinicOffice?
Yes, but you need to use an alternate method by creating an “App Password” in your Google account instead. Here’s a step-by-step guide:

[1] Create an App Password in Google

      1. Log into your Google account, then navigate to the Security settings. Here’s a direct link you can use: https://myaccount.google.com/security

      2. Locate the “2-Step Verification” security setting and make sure it is enabled on your account. (Google insist this must be enabled in order to use App Passwords.)

      3. Once this is enabled, go to the App Passwords section in your Google account. You can type “App Passwords” in the search feature at the top, or alternatively, use this direct link: https://myaccount.google.com/apppasswords

Now type in “ClinicOffice” as the app name and click CREATE. A new password will be  generated and displayed on the screen. Please COPY this to the clipboard and/or make a note of it.

      [2] Configure ClinicOffice

Now we need to configure ClinicOffice. Navigate to the Email Manager Account screen.
(VIEW -> Program Settings -> Global Settings -> Setup Email Accounts)

Use the settings indicated below to setup your GMAIL account:

      1. Select IMAP as the server type.
      2. Server Name: imap.gmail.com
        Security: TLS or SSL
        Port: 993
      3. Enter your GMAIL address, followed by the App Password that you created earlier.
      4. Click Test Incoming Server
      5. Now select the Outgoing Server tab
      6. Server Name: smtp.gmail.com
        Security: TLS or SSL
        Port: 465
      7. Check the ‘Authentication Required’ box, and click [Copy from ‘Incoming Server’].
      8. Test the outgoing  connection.
      9. Remember to click Save.

Now close the Email Account Manager screen, and you should find your GMAIL account will start working correctly with ClinicOffice.

We’ve noticed that App Passwords sometimes seem to take a few minutes to register, so if you experience any problems at this point, we suggest closing ClinicOffice to clear any cached connections to GMAIL and then try again.

If you’re still struggling after that, please feel free to get in touch and we’ll do our best to assist!
