        Hi,

        Thanks for the post.

        The reason you are seeing a long number is because ClinicOffice has it’s own unique patient numbering system (per.id) that is entirely separate to the patient code (per.code).

        The patient code is not a standard merge field for all templates in ClinicOffice unless they are a patient based template, however this can be added. Which template are you trying to use? If you let us know then we can look at getting the patient code added for you.

          Thanks for your post.

          One way to create email templates containing the merge data you listed would be to use the ‘CONTACT CENTRE’ in ClinicOffice. This will also allow you to create automatic rules that can be run at set times notifying patients of upcoming appointments.           If however you are referring to sending an email from a letter template, and this is what you wish to adjust, then you will first need to locate the letter template in question under the ‘REPORTS AND TEMPLATES’ section of ClinicOffice. Once you have found it, right click, and select ‘EDIT TEMPLATE’. From here you will notice a number of tabs at the top of the screen. Select ‘DATA MERGE’ and then click ‘INSERT MERGE FIELD’. A drop down list will now be displayed showing all of the possible data merge options.

            Thanks for your post.

            ClinicOffice will only attatch emails to contact records if the originating email address matches that of the address stored in the contact record. If email logs are appearing in more than one record, this will be because you have the same email address listed for more than one contact.

            If you don’t want ClinicOffice to display emails in the conatct log, then you can disable this feature from any patient record. To do this, open a record, and go to CONTACT JOURNAL – SETTINGS, and then un-tick the “Include emails in journal” box. This setting is then applied to every contact record.
