If you want to merge with word, we recommend exporting your patients to an excel spreadsheet (or csv file) and then use Word’s Mail Merge facility and specifying the exported file as the “data source” for the Mail Merge.

Full activity logging is a possibility for a future version of ClinicOffice, but it does affect database performance and (depending on the level of logging) it can also massively increase the size of the database.
Call/contact logging can be achieved using a combination of patient flags, the todo list and the patient generic notes field. In the future we have thought about another module which is more geared towards full contact management but that will be considered later in 2006.
You already can sort by columns in the task list. Simply click on the column header to apply a sort to that column. A small up/down arrow will appear to indicate whether the column is sorted in ascending/descending order.
Thanks for the suggestion re the patient link. Perhaps a right click option would be best as there’s not really any room for another column? As things stand you can simply double click the task, then double click the patient name.

This topic seems to have slipped by unanswered for a while – sorry about that! Most likely the intervals being shown are that of the staff members. The clinic interval is only really used when you are viewing the diary by rooms. Please go to the staff editors and check what the preferred intervals are for your staff.
The best thing we can recommend is try it for yourself! Also there is a whole topic devoted to this in the User Guide which gives you a step-by-step guide how to send sms messages from within ClinicOffice.
Click the Help menu, then click ClinicOffice User Guide. If that option doesn’t appear to be there, then you could be using an old version of the CO2005 trial. Please uninstall it and download the trial again.

Hi Claire – I’m afraid that we can’t seem to reproduce that problem here (we’re using build 1038) and we haven’t had any other users report this, so I’m not sure what to suggest!
Can you post some specific steps that we can folow to reproduce the problem?

Here are some things to try :-
[1] Try closing down and restarting ClinicOffice.
[2] Scroll back to 3 months ago in the dairy, does ClinicOffice display a message at the top of the diary warning that you are still in the “Last 2 months and future” mode? If so then please change the Load Mode (under diary settings) and be sure to click the refresh button.
[3] Please make sure that all your staff members are ticked in case you have unticked a staff member, which will filter out their appointments. Whilst on the subject of staff – have you changed any staff records recently – esp deleting an old staff record? If so, it could be that the appointments were assigned to that staff member in which case they will now be hidden.
[4] A remote possibility is that it’s a database problem. Please run the database integrity check (from the TOOLS menu) which should report/fix any problems.
[5] Lastly, you could try the following to see whether the appointments are definitely in the database. Click TOOLS | Advanced DB Operation.
Type in (or copy and paste) the following :-
SELECT * FROM App WHERE Start < '2004-1-1'Then click Execute. This will list all appointments in your database prior to 2004.

From ClinicOffice 2005, please click File | Settings, then from the Global Settings screen click the button which says IntelliSMS Setup.
This will bring up the IntelliSMS Setup screen which gives you more information.

Firstly, please make sure that you are running the latest build of ClinicOffice 2005. With each update we do our best to increase the performance of ClinicOffice.
If your computer seems to be ‘labouring’ it can one of a number of things…
If it’s more than a couple of years old, it might be below the recommended system requirements. If you send us an email from within ClinicOffice (click Help | Email Support) then that will give us some information about your hardware and we can let you know.
Often the key factor is your available memory – we recommend a minumum of 512mb memory. If you have less (e.g. 256mb) then the system will have to access the hard disk a lot more frequently.
Also, have you run a disk defragmentation recently? A fragmented hard disk will ‘labour’ and reduce performance significantly. It’s a good idea to make sure that your hard disk is regularly defragmented (probably every couple weeks or so).
With regard to deleting update files – yes you can safely delete these after downloading and running them. Updates are ‘cumulative’ too, so if you ever had to re-install from your original CD, you would only need to apply the latest update to bring your installation fully up-to-date.

Hi – this feature is already there! Please make sure you have updated to the latest version in case you are using an older build.
The custom patient fields are only available on the “Letter” templates and they are right down at the bottom of the “Insert Merge Field” list.

Yes there is. Here’s how to send an email to multiple patients in ClinicOffice 2005…
- – Go to the Patients screen
– Select the patients to whom you want to send an email
– Right click the selected patients and click SMS/Email Patients
– Select “Only Selected Patients” then click OK
– From the Send SMS/Email screen, click Send Email
– Type in your message (you can save it for future use)
– Click Send EmailThe email will be sent using your default email client.
If you want to send the email manually from your email program and you just want to extract the email addresses from the patient records, then use the “Export Grid” feature on the patient list. You can export the patient records to an Excel spreadsheet and from the there you can copy & paste the email addresses into a blank email.
This would be achieved through the use of Clinical Forms.
Using your example…

Each time you treat a patient, you would attach a treatment form to their record, and tick the “L4 adjustment” tickbox as appropriate.

Select the “Treatment Form” and tick the box next to “L4 adjustment” to indicate that you want to find all patients who have a tick in that box.
You can also add further search conditions on other form fields if you wish. Click OK to perform the search.
We’ve been unable to reproduce the problem that you describe. I have emailed you a screen shot of the Form Print Preview, and also the resulting printout (printed to a PDF document) which shows the check boxes without ticks.
Yes you can.
In ClinicOffice, go to “Reports & Templates”, right-click the template in question then click “Edit Template”.
Firstly, you need to change the “Normal” font style. To do this, click Format | Styles and Formatting. Select the “Normal” style then click the “Change” button. You can now choose the default font, font size, colour etc. etc.
Secondly, you may also need to select the lines on the template where you normally start typing your letter (i.e. after “Dear
“) and change the font size there too. When you have finished, SAVE the template and then close the Word Processor. Any time you create a new letter/report based on this template in future the font sizes will have been updated.

ClinicOffice XP and 2005 use completely different document systems. The only way to copy the document templates over is to copy/paste the text from one system to the other.

If you mean export patient details for a mail merge, then you right click on the patient grid, then click Mail Merge then select either Excel or Text. You can then use the mail merge features in MS Word to create letters for those records.

Again, I’m not too sure what you mean. You can copy/paste the text from a word document into the ClinicOffice Word Processor.

When you edit a document template, there is a button on the toolbar called “Insert Merge Fields”. Clicking this button will show you a complete list of all available fields. Click on one of the fields to insert it into the document.
We can’t reproduce this problem here I’m afraid. The checkboxes show up in an ‘undefined’ state – perhaps you’re confusing this with a tick?
Basically, the form checkboxes have 3 states – checked (with a tick), unchecked (empty) and undefined (a square).
All question types are undefined by default, which means no answer has been given. This is required for Yes/No answers because if you’re performing a search on the form answers, the system needs to be able to distinguish between a definite NO answer and an undefined answer.
Hope this clears things up.
We have 3 printers in our office :-

– An Epson Colour InkjetI’m afraid that we’re also unable to reproduce the problem. For us, the grayed out sections appear as a light shade of gray as they do on the print preview screen.
Do the sections appear as solid black on your diary print preview screen? ClinicOffice renders the print preview image and displays on the screen – but then when you click ‘print’ it simply passes the preview image over to your printer driver – so if it looks ok on the screen but not on the printed page, then unfortunately it sounds as though your printer driver is doing something odd!
Please check that you have the latest drivers installed for your printer. Also – do you have another printer available which you could try?

We’ve fixed it and emailed you a patch, which will also be included in the next general update (after 1023).

Thanks for the information. We are working on reproducing the problem here and will have a fix in the next CO2005 update (build 1022).
The user guide will be ready shortly which will contain some useful help on using the Word Processor in general and also on how to create/edit your own reports.
We also anticipate that we’ll be adding quite a lot of new reports/doc templates over the coming weeks now that ClinicOffice 2005 has been released. We’ll post new reports here in this forum so that you can download and install the ones you want.
The best way as users for you to create reports, is actually to copy existing ones and edit the layout. Programming a new report from scratch requires a good knowledge of SQL and the ClinicOffice database structure. In time, there’ll be plenty of reports available so there’ll be lots to choose from for you to tweak and modify to your own ends.
In the meantime, if you have any suggestions are urgent requirements for a report/doc template – please post a request in this forum and we’ll do our best to accomodate!

Both ClinicOffice XP and ClinicOffice 2005 have a manual backup procedure (accessible from the Tools menu) and it’s possible that we’ll develop some kind of automated backup in the future.
For the time being however, we would recommend looking into a 3rd party backup program for automated backups.
Regarding backing up ClinicOffice with 3rd party software – you just need to make sure that your backup program includes the folder which contains your ClinicOffice database files.
Futhermore, using a 3rd party backup program you can also backup other important files & documents on your computer in addition to your ClinicOffice database – all at the same time!
Another possibility to consider, is purchasing an actual backup device such as an external ZIP drive or a Tape drive, which will almost always come ‘bundled’ with backup software for automated backups. An additional benefit of this, is that it also forces you in to the habit of backing up onto external media.
