Having said that, I have just tried to refresh and two of the payments that have been entered are not even showing up with an icon, even though the invoice and payments have been entered. Refreshing manually isn’t even bringing the icons up now. ?? 😕
I have just updated to v 1082 and I have selected refresh icons after saving from the grid menu. However the icons are not showing up until I have to refresh the dairy manually.
Hi I wonder if you could also back date the payment screen, since when you select “create invoice” it aks if you want to backdate the invoice, so I select yes, then it asks if you want to recieve a payment, so I select yes, but the date on this payment screen automatically puts todays date, not the backdate. So could you modify this so that it also backdates the payment screen automatically if possible, otherwise another box asking if it needs to be backdated would be better.

Click on Show Diary Options (right top corner of screen)
Tick refresh after saving
In the drop down menu select refresh every 30 seconds

What would be even better is if clinic office can send the text automatically to the patient. Instead of having to manually look at the next days shift and send those that want reminders all separately, perhaps there could be an automatic reminder 24 hours before the appointment which could be ticked when actually pre-booking that appointment. This way it is all automated.

What would be really helpful is an icon like the invoice pound sign on appointments for clients needing appointment reminders. You could have the client permanently flagged as needing a reminder so that every time you make an appointment the icon automatically appears on their appointment.
We try to keep our task list updated with reminders for us to remind the clients but an little icon eg a little bell to signify an alarm would be a great visual reminder against each client. That way you could simply look over the next day’s shift or the current shift and see at a glance who needs a reminder. You could have it with a “1” on the bell if they need a reminder the day before or a “0” on the bell for those wanting a reminder on the day.

I followed your instructions and it did amend the invoices but here’s what happened:
Those that originally had a discount applied to the invoice appeared in the account balance and being the full value of the invoice – not the discounted value. So the account balances have now been affected as the amount invoiced is more than what was paid.
However when I go into an affected invoice and click in the discount box it updates the amount to the correct discounted value. If I then save and close it the corrected discounted value shows in the account balance screen. The Payments are still showing as Part Allocated though.
The only way for me to get the invoice amount and the Payment allocation showing correctly is to remove the discount percentage altogether and change the actual item amount.
I now have hundreds of patients with incorrect balances showing. Is there a way of correcting this quickly?

ClaireI’m surprised that this is not a high demand item as changing a lot of data can be sped up dramatically with the function.
Another example is the Practitioner field. We have had a change in practitioner at our practice. If there was a bulk field change facility we could change all the clients that were assigned to the previous practitioner to be assigned to the new practitioner by unique code in one action as opposed to having to go into every single record to change the field.
Even if the patient grid had bulk change options for all fields (similar to your Change Status function and Flag/Unflag function) that would be great!

Excellent! That solves my problem. Before when I tried that, the genie would insist I put a number into it. Now it does let me delete it.
Thanks!We do use codes for all patients, however sometimes a new patient will ring up and book a consultation in advance, so they are entered into the database, but then they may not show up or they cancel the appointment. So with the autoallocation system, that patient already has a code but never materialises. Even if you delete that patient, you cannot allocate that same code to someone else.
The way we organise our codes is the day the patient physically comes in for the initial consultation – they have a file made up and they have a code allocated there and then.
Do you not have the same problems with no shows??You can click FILE | SETTINGS | User Options, then tick “Confirm Auto Assign Patient Code” in the Optional Messages list which will switch the auto allocation back on…

By taking the “confirm autoassign” off from File – Settings, it doesn’t help. It automatically gives the patient a code and I don’t want that.
Ideally I would like the code left blank without any option of auto assigning.
Is this possible at all?shutting down did not work so i tried putting a card into drive E. Hey presto problem solved even when card is removed. Very strange. Thanks Steve 😀

Yes, this is easy to do. Simply click the File menu, then click Settings then User Settings.
Now make sure the optional message Confirm Invoice – Appointment Date is ticked.Your new feature to back date/time the invoices is very useful. However on one of our computers, I had selected “Don’t ask me this question again” having selected yes – thinking that it would automatically back date them. It now defaults to the current date/time. Can I reset it some how so that it asks me again?
Is there a way to set it so it automatically back dates the invoices without asking?
Also is there a way to set it so that it back dates the payment as well as the invoice portion?

will organise a time for you 2 have a look at my curent issue which in a nut shell is
I’m running 2 printers from the same machine with different reports going to different printers…
Setting the default printer for each report seems to change the default for all other reports being printed reguardless of which printer they are supposed to print out on… ie A4 reports being sent to POS reciept printer!!!
I’m sure it’s something simple..

The problem that’s arisen is that it seems that all our printing is now defaulting to the termal printer which doesn’t look pretty LOL … A4 going thru a reciept printer…
Can you suggest a fix… so my A4 stuff goes to it’s printer and the other stuff goes to the thermal..
I’ve tried to change the defaults on the templates but they revert back to the last template which I configured..

Navigate to Reports | Templates
Choose the report in question right click on it and choose EDIT
Then click on the EDIT SOURCE button.
Click on the Report Options tab at the top and then copy and Paste this text at the bottom of the screen…

I have tried to figure it out for myself but can’t achieve it…

It may be a time interval issue when your viewing the diary… try this right click on diary scroll down to interval and change your interval time…

I am experiencing the same problem when entering invoices and payments for previous days. I have noticed a button on the date/time section which says “now”. Is there any reason this is there since the date automatically has the current date and time, so there is no reason to ever use it. Could that button be changed to “appointment date” or something similar. This way, all you need to do is click on that button to get the date of the actual appointment (the time could just be set to the finished appt time or not included at all)
It does happen on all computer to all users. The messages are on top of each other so when you put the mouse on the dismiss button or the snooze button, it rotates to the next message before you can click on the button to dismiss/snooze it. It only happens when there are 4-5 messages displayed on top of each other, usually only when you log on. If it is a single message it works fine.

I have been using the software for over 3 yrs now form it’s early inception as clinic office xp… to the current version
At the time of making the decision to purchase from pioneer I had done a lot of research into various practice management software packages and I believe bought into the best on the market
As a user I have been part of the evolution of this product and through the forum’s wish list have input into how the package develops
Support form the forum is excellent, and the tech staff are always available to offer prompt support via phone and e-mail
In terms of implementation the package is easy to use and the learning curve is fairly quick even for the not so computer literate…
Due to the modular nature of the package you can buy in the features that you need and as your need changes you just buy in the next module you need..
I subscribe to the £25 a month support package which funds the forum and future development of the software and gives me free upgrade when the software moves to the next version
Currently I have 4 licenses running a server and 2 computers one in reception and one in my treatment room, with plans to put another computer in another treatment room.. I have remote access from home which allows me to view the diary…write patient letters, etc and we’re currently in the process of connecting all practitioners remotely thru remote desktop
I have encouraged 2 other practice to purchase this package with great feedback from both
Have a look at the other packages out there if you haven’t already done so, do a price/facility comparison and if you buy anything else I’ll be very surprised…

leeI have been very happy with Clinic Office. It represented great value in terms of the features offered and the cost. It is great that you can start at a lower level of options and add on as your requirements increase. I have found the support to be excellent as well. I have no hesitation on recommending the package.
The report you suggest is the same as “item sales summary”. There is no option to select category.

Any of you using the AUTOBACKUP programme will by now have realisied that it has a handy email faculity that advises you if the back up has failed for any reason…..(if your not using it I suggest you start)

I set this up about 3 months ago, havent had an email since, but I’ll be due for some house keeping soon….
This helps me sleep at night knowing that the data is safe & backedup off site…so having lost an access database on more than one occassion (a little knowledge is a dangerous thing!!!) …. IF YOUR NOT BACKING UP YOUR DATA YOU NEED TO PUT A PROTOCOL IN PLACE (WHICH TAKES HUMAN ERROR OUT OF THE LOOP) ASAP

Sure the appointment list gives us a count of completed appointments. We look at the patient visit average, ie number of visits each patient has attended. The appointment list gives a total appointment count, duplicates each patient and doesn’t give a count per patient. I just thought that having an appointment count field in the patient grid of completed appointments it would make this process much easier and you can then sort by the most visit averages etc.

(Sorted this by importing co1055.exe from update folder and running it on the server)2 other work machines also afftected…on opening the program gives me the error message detailed in previous post..
(Will attempt the same procedure as above and reinstal the 1055 update and see if this clears the error..)Home machine fine now seems to be OK no error message being displayed on opening the program

Prog crashed…complete shutdown… I will e-mail you the number to see if you can reproduce it…
In the grand scheme of things it’s not that important.. so it doesn’t matter if it’s an issue the number is probably wrong or something like that..

This was gong to be my suggestion. Please include the ability to schedule communications (flyers, phone calls etc). I know this can be done manually with tasks, but if it could be automated so that we were consistent with our communication, that would be awesome.

Hi there,
I have been updating our database with payments and invoices going back to the time we started the practice so that we have “lifetime values” ie the amount of revenue each client has contributed. This is useful when looking at the amount of revenue by source of client eg local advertising, yellow pages, referrals etc. I’m also doing it so that we have accurate stats on visit numbers, services & collections etc.
I have had the same problem with having to change the invoice date and time for every back-dated one. What I do is change the date and time on the invoice for the first client of that day. I then copy (ctrl c) the date/time and then when the payment screen comes up paste that date and time into the date/time box for the payment (ctrl v). When I do the next client I paste the date & time in the date/time box of the next client’s invoice, change the time and repeat the copy & paste for the payment – and so on !! It’s a bit laborious but I figure it’s worth it so that we can have accurate stats. If you’re not too fussed about changing the time every time you could set your clock on your computer back to the date of the day that you are entering invoices and payments – however you have to keep changing the clock date between days – probably faster to do the above!

I had both wired and wireless running simultaneously…Wireless just adds another layer of complexity to the mix ❗ and it’s too slow…and you don’t need the grief….
Wired is by far the best solution…if you cant hardwire then think about using your buildings electrical cable to transport the data…
We had a situation where we had wireless networks on either side of us in the buildings next door on the same frequency which caused major data collisions and therefore loss of speed.
A wired network is defintely the better solution particularly if your centralising the database to one machine and using the other machines as workstations

Hello,
I’ve had this problem too. If you enter a postcode then move to the next cell to enter data, it automatically changes what you type to lower case.
The only way I’ve found to get it to stay as I enter it is to save the file before moving away from the cell.
The same is true with other fields eg surnames like McFergus, which unless you save whilst still in the field, will change to Mcfergus when saved.
Is there a setting we should be changing or is this the way the programme is written?

The short answer is no as error caused shutdown of the program and no generation of error… I was wondering if the error was created by an incorrect mobile number??? We have 2 for this particular patient I used the one in the database we have yet to contact the patient and confirm moblie no.

Your reply is most courteous and considerate. I wish I had read your recommendations before ripping out the wired network during our refurbishment.
I must say that all the problems I had at the time I wrote have improved massively since I upgraded the router/modem’s firmware and got the right version on the 4th attempt. Now it is rare that it drops the connection.
