      HI Joshua, we’ve been having a play around with it today and managed to solve the problem, it’s one that only the administrator could amend which is why I didn’t have the ability to change it myself at the time. Thanks.

        That’s what the notes look like, obviously amended partially for some privacy, The problem stated when typing in the plan section. Unlock notes isn’t able to be pressed.

            Hi William, yes that setting is ticked. We can edit that patients previous notes too, it’s that one specific date that’s locked and it only seems to be her notes that have been affected.

                When using e-docs we are sending patients a New Patient Intake Form.  When this is imported is it possible to automatically transfer the date into the Patient Details Section?

                      Hi William, sorry for the delay, yes, we’re still having the issue. We don’t have a % discount box in that section. The only place we have one is when we’re doing the quick payment, but we have to take it off manually.

                              Thanks again. I have kind of resigned myself to the slow performance, we have been putting up with it for a while. However I was hoping that the computer upgrade would of helped at least a bit.

                              Unfortunately, there is now an issue with the server. I have removed all anti virus and disabled firewalls (obviously a security concern), and it is dropping out regularly now too.

                                So uninstalling the anti-virus software resolved the database issue. As we were using Bitdefender as recommended, what would be your suggestion for an antivirus solution?

                                 

                                I also thought that the network would be the problem with the slow and laggy performance, however the modem is top shelf and relatively new, and all other networking needs are fast and without issue. Unfortunately we can’t run a wired network, however all PC’s are within 5 metres of the modem. Ping tests run fine too.

                                            Hi Joshua, yes we ended up having to change the file type. It was coming out as .rtx or something like that, we changed it to a .docx and the password issue was resolved.

                                              HI, that’s worked fine for this patient, thank you. However, if I have someone that I need to work within specific dates that cross over your options, do I have to pick all and then use the word processor and delete as applicable?

                                               

                                              Also, I’m trying to password protect this document in word format option and it’s accepting the password and saving it but then when I click to open the file again it opens without needing the password, any idea on this?

                                                Just an update. We have tried running with av defender off and we’ve tried it since with it back on and it doesn’t seem to be making any difference. At the moment we don’t seem to be encountering the issue. Touch wood it stays that way!

                                                    Hi William, Yes there would be a group antivirus software, security manager: AV defender. However, as per previous times when we’ve had clinic office issues and it’s been queried whether this is interfering, there is nothing displaying saying it is quarantining or blocking anything Clinic Office related.

                                                    It is not happening every single time, although has become more frequent in the last couple of weeks for sure. With our IT support we tried logging in and then out again straight away and they had no issue in doing that. I had called them at the time when I couldn’t log off for reference, we had to force shut down and then start again.

                                                              I can’t really separate the form into separate documents as I already require them to complete privacy documents and consent forms using EDocs. I think if I added any more separate forms it would become confusing/overwhelming for the client.

                                                              I look forward to the improved functionality as I am sure it will work really well. Any idea of when this is likely to happen?

                                                                Hi, i posted this a couple of years ago, is there any quick way to get a csv file downlaoded from facebook & upload it to clinic office so we can get them on the system fast? Rather than say opy and pasting their details etc.

                                                                    As per agreement with our clients cancellations can take place without charge up to 48 hours before the session. Between 48-24h 50% payment is required. Cancelling your appointment 24h or less or not showing up for your appointment at all, results in having to pay for the entire session. Clients are reminded 3 or 4 days in advance so there is still enough time to cancel without having to pay anything.

                                                                    It might seem strict but there are multiple factors contributing to this: the very long waiting list with clients who do really want an appointment, culture (forgetting, being late, not informing timely), the waste of time and loss of income because due to the very late cancellation or no show, no other client was able to be planned. There is of course some flexibility for late cancellations (first time is never charged, depending on clients usual behavior, factors we know can play a role eg weather, death in family, etc).

                                                                    We then move the entire appointment, manually change the date of the invoice, instead of voiding the invoice and creating a new one. This does not happen often as clients are reminded and have signed of on the treatment agreement. The no shows/late cancellations have dropped drastically since implementing these rules. This is the reason clients can receive an invoice up to 24h in advance.

                                                                    It seems more logical if CO would use the appointment date as starting point for the invoice date  (not the date it was created if date is before appointment date), the same way that if I would create a session note for an appointment in the future, it uses the appointment date, not the date I created the session note. And of course the possibility to back-date like CO offers now.

                                                                    I understand what I am looking for this is not possible at the moment and would require some specific action. It is something we use daily so might be worth investing in.

                                                                    How can I find out what these charges would be?

                                                                      Thanks for your reply. CO only asks me if I want to back date the invoice when I make an invoice for an appointment in the past. Not for an appointment in the future. Am I missing something or doing something wrong?

                                                                      I don’t understand completely what you mean with “from withing the appointment itself”. I have the full week view, and from there I right click on the appointment and create invoice. System uses today’s date as invoice date rather than appointment (which is in the future) date.

                                                                      When I double click to open the appointment I can either choose Create Invoice (top) or Raise an invoice (bottom). Neither options prompts the window to back date the invoice. It should future-date the invoice (if that is even a word).

                                                                      Invoices are prepared in advance by the secretary and send as early as 24h before the session takes place, but invoice date on the invoice should be same day as the appointment.

                                                                        Just a thought on this, we had the very same problem and the issue turned out to be the BT business hub 6 we were using, we went into the router properties and discovered that the port the main pc was on kept dropping no matter what port we plugged in into, in the end we bought a non managed hub/switch a Netgear to connect the network pc’s and left the BT hub for the internet and card machine and has never been a problem since.

                                                                          Thank you for your reply. But my query was for the online diary, not the ordinary Hosted diary. As you can see on the attached jpg, at 2:30pm, the top Clinic Office diary shows the time whilst the bottom Online diary does not.

                                                                          I would very much appreciate if you could tell me how to resolve this issue.

                                                                                      So while in design mode I found something that worked my miracle 😀

                                                                                      There is this tiny arrow right below “Add Field” and when I clicked on it it had a form layout back up list. And I was able to revert it back to October 5th 2019 and I know I haven’t made changed since a long time before november 23rd. So I used this method to revert the layout to Oct 5th and everything under patient name came back.

                                                                                        Thank yo for your reply. I have attached another image with everything I see in the floating window. The ‘item5’ which looks like two stacked boxes (kind of) is empty and does not contain the items I am missing. If I search for last name I cant find it either.

I’ve checked we haven’t accidentally made her a contact or something along those lines too if for any reason that may interfere. there’s nothing on her profile that looks out of the ordinary so I can’t put my finger on this one.

                                                                                                    My issue is actually on the startup of the software. We have the software edition and 6 licenses. Recently we have been starting up the program and the program is asking for a license.

                                                                                                    When i enter the details for our license it says that we have reached our maximum licenses???

                                                                                                      Pleaaaaaaaase make a module that tracks open invoices. Let CO decide what reminder (1st, 2nd etc.) one should get. By one click of a button, instead of going through all the patients one-by-one.

                                                                                                        Can the mobile phone number field be made to accept 11 digits only?  We’ve had a few problems where we’ve not realised that a phone number is too short or too long – it would be great if it was checked at the point of entry. And all UK mobiles are 11 digits I think.
